Intro
ChatGPT Work launched last week as a way to complete longer jobs. This week, OpenAI made the surrounding workspace easier to search, customize and carry across devices.
On July 14, ChatGPT gained broader search across chats, projects, images and documents. On July 15, OpenAI increased the custom-instruction limit for Pro, Enterprise, Business and Education users. On July 16, it updated the desktop experience with clearer Chat and Work choices, unified recent activity, Projects and cloud Work continuity across web, mobile and desktop.
For a small business, this is more than interface polish. It is a sign that AI work is becoming persistent. That makes approved context more useful—and messy or sensitive context more dangerous.
What changed
The July 14 search update rolled out globally across plans. Users could search several kinds of ChatGPT material from one place and narrow results by content type.
The July 15 update raised the custom-instruction limit from 1,500 to 5,000 characters for the listed business and paid workspace plans. That gives a team more room to state how it wants the AI to write and behave.
The July 16 desktop update brought Projects into the app, placed Chat and Work activity together in Recents, and allowed cloud Work conversations to continue across supported devices. OpenAI said the desktop-experience changes were live across plans; that should not be read as a claim that the Work agent itself was included free on every plan.
Together, the releases make ChatGPT feel less like a disposable chat box and more like a place where ongoing work, instructions and source material accumulate.
Why it matters to a small business
Persistent context can save an owner from explaining the same background every time. A clean project might hold an approved service description, brand voice, standard operating procedure and examples of acceptable output.
But accumulation creates a new housekeeping job. Old policies, conflicting drafts and unnecessary customer data can sit beside the current source of truth. Better search helps the AI and the user find information; it does not decide which version is correct or whether it should have been uploaded.
The practical advantage will go to the business that can maintain a small, trustworthy knowledge set—not the one that uploads its entire drive.
What still needs proof
- Whether longer custom instructions actually improve consistency for your workflow.
- Whether the team can keep project material current and remove obsolete copies.
- Whether cross-device convenience fits the business's access and device policy.
- Whether employees understand the difference between cloud and local work.
- Whether the subscription and workspace controls meet the business's requirements.

What we predicted in the July 12 issue: agent products would compete on persistent context, including projects, instructions, files, history and continuity.
What happened this week: OpenAI added broader search, more room for standing instructions, Projects on desktop and the ability to continue cloud Work across devices.
Our next prediction is: once AI workspaces become easier to use, vendors will invest in onboarding, training and ready-made workflows for small businesses that do not have dedicated AI staff.
Our take on what comes next
Opinion: “Business context” will become one of the most valuable—and least well-managed—assets in everyday AI use.
The useful skill will not be uploading more. It will be curating less: the current policy, the approved examples, the trusted data and the few instructions that genuinely improve the work. Small teams can do this well because the owner is often close to the process, but only if someone is clearly responsible.
Your move this week
Create one clean project before adding another integration:
- Choose one workflow and one project owner.
- Add only current, approved reference material.
- Label each source with owner and review date.
- Write standing instructions for tone, facts, citations, escalation and no-go actions.
- State which customer, employee, financial or confidential data may not be added.
- Run a five-example test and record every correction the reviewer makes.
- Set a monthly date to remove obsolete instructions and files.
If the project cannot identify its source of truth, it is not ready for more automation.

- Approved sources: Current files only, each with a date and owner.
- Standing rules: Tone, evidence, uncertainty and escalation.

Status: Happened. On July 21, OpenAI launched a small-business program that included virtual training, in-person academies, guides, partners and owner feedback. That later announcement is covered in Issue 4 and documented in OpenAI's official program post.
